Introduction

Sentinel Labs ("we," "our," or "us") operates The Sentinel Discord Bot and related services, including our web dashboard at dash.sentinellabs.dev. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services (free or premium) or purchase optional premium upgrades from us.

Information We Collect

Discord User Information

When you interact with The Sentinel bot or dashboard, we collect:

• User ID — Your unique Discord user identifier
• Username — Your current Discord username
• Avatar URL — Link to your Discord profile picture
• Server Information — Guild ID, server name, and your role within servers

Activity Data

We track the following to provide our services:

• Message statistics per channel and user
• Voice activity (when enabled)
• Moderation actions (warnings, bans, kicks, etc.)
• Server analytics and activity metrics

Content Data

We may temporarily store:

• Message content for moderation and spam detection
• Deleted messages for audit purposes (expires after 24 hours)
• Attachments and embeds associated with moderation logs

Payment Information

The Sentinel is free to use today. Paid premium subscriptions are launching soon. When billing opens, payment processing will be handled by an authorized payment provider acting as our merchant of record. We do not store your full credit card or bank details. The payment provider may collect:

• Name and email address
• Billing address and country
• Payment method details (processed securely by the payment provider)
• Transaction and order history

Details about how the payment provider handles your data will be disclosed at checkout when billing opens.

How We Use Your Information

• Provide and maintain The Sentinel bot and dashboard services
• Process optional premium purchases and manage subscriptions
• Detect spam, abuse, and inappropriate content
• Generate server statistics and activity reports
• Maintain audit trails of moderation actions
• Improve our products and services
• Communicate with you about your account or purchases

Data Storage and Security

Storage Location

• Bot and dashboard data is stored in secure MariaDB databases on our infrastructure
• We implement appropriate technical and organizational measures to protect your data

Data Retention

Permanent retention (no automatic deletion):

• Moderation records are retained permanently for audit compliance. These may be anonymized upon deletion request.

Automatic deletion:

• Purge records: 24 hours
• Message log content: cleared after 14 days (metadata retained up to 365 days)
• Message statistics: 365 days
• Orphaned user data: 30 days after leaving all servers
• Deleted Discord accounts: 7-day grace period, then deleted

Guild removal: When the bot is removed from a server, all associated data for that server is immediately deleted.

Information Sharing

We do not sell your personal information. We may share data with:

• Payment providers — For payment processing and order fulfillment when paid billing is enabled
• Discord — As required for bot functionality via the Discord API
• Legal requirements — When required by law or legal process
• Service providers — Trusted third parties under confidentiality agreements

Your Rights

• Request access to data we hold about you
• Request correction of inaccurate data
• Request deletion of your data (moderation records may be anonymized rather than deleted)
• Request a portable copy of your data
• Opt out by stopping use of the bot or removing it from your server

Children's Privacy

Our services are not intended for users under 13. We do not knowingly collect personal information from children under 13.

International Users

If you are located outside the United States, your information may be transferred to and processed in the United States. By using our services, you consent to this transfer.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last Updated" date.
